WOOCOMMERCE AND QUICKBOOKS

A QuickBooks WooCommerce integration that ends the retyping.

A QuickBooks WooCommerce integration should put sales, fees and deposits where your bookkeeper expects them, not just copy orders across. I work out with you and your accountant what the books need, then set up the connector or build the sync that delivers it.

THE REAL QUESTION

Your accountant decides the shape. The software follows.

Most owners start by asking which plugin to buy. The better first question is how your books should look. One entry per order, or one summary per day? Do customers need to exist in QuickBooks, or only the sales? Where does sales tax go, and what happens to a refund three weeks later?

Then there is the money itself. Payment services pay out in batches with their fees taken off, so the deposit that lands in your bank rarely matches any single order. If the integration does not record those fees and group those payouts, your bookkeeper ends up untangling it by hand every month, which is the job you were trying to stop paying for.

WHAT HAS TO LAND RIGHT

Six things a QuickBooks WooCommerce integration must get right.

Sales

Orders in the right form

Paid orders usually become sales receipts; orders paid later may need invoices. Which one, and whether daily totals beat order-by-order detail, is your accountant’s call.

People

Customers, or not

Some books want every customer; others want one store customer and a clean list. Duplicates are the usual mess, so matching rules get decided up front.

Items

Products matched by SKU

Store products have to map to QuickBooks items so sales land on the right income accounts. Clean SKUs on both sides come before any connection.

Tax

Sales tax where it belongs

Tax collected at checkout has to post to the right tax account, separate from income, so the numbers you file match what the store actually charged.

Payouts

Fees and deposits

Processor fees recorded as expenses and each payout matched to the orders inside it, so the bank feed reconciles instead of leaving a mystery difference.

Changes

Refunds and edits

A refund or a changed order in WooCommerce has to reverse or adjust the entry in QuickBooks, not leave the original sale standing.

THREE WAYS TO CONNECT

From a ready-made connector to a sync written for you.

I recommend the simplest one that does the job, and I will say so when the simplest is enough.

Connector plugin

A dedicated sync plugin

Products such as MyWorks Sync connect WooCommerce to QuickBooks Online and handle orders, customers, products, inventory, payments and transaction fees, and can group a day’s orders into one bank deposit. They run on the vendor’s free or paid plan, and QuickBooks Desktop takes a different product. Connectors differ in what they carry across, so read each one’s list of what it does not sync before you buy.

Automation

An automation service

Zapier connects WooCommerce and QuickBooks Online with steps like turning each paid order into a sales receipt, finding or creating the customer first. Good for a simple store with simple books.

Custom sync

A plugin written for your rules

When the money is unusual, such as deposits with balances due later, marketplace commissions or sales from a register and a website, a purpose-built sync records it exactly the way your accountant wants.

THE SAME KIND OF WORK, RUNNING TODAY

Systems that move money and numbers between software.

I do not have a published QuickBooks case study. What I can show you is the same kind of integration running in production. At Kentucky Peerless, a custom plugin I wrote syncs the Clover register’s inventory into the website every hour, and the SWD Bookings Export plugin pulls any date range of tour bookings into a clean CSV for planning and accounting.

At HogMatch, one function works out the deposit, the platform commission, the amount owed to the breeder and the balance due, so every screen and email reads the same numbers. That single source of truth is exactly what an accounting sync needs to read from.

HOW I APPROACH IT

Books first, then software.

01

Talk to your bookkeeper

One short call with you and whoever keeps your books: how sales, tax, fees, payouts and refunds should land.

02

Clean the store data

SKUs, tax settings and payment methods in WooCommerce get tidied so the books receive clean information.

03

Connect and test

The connector, automation or custom sync is set up and run against real test orders, including a refund, before the live books are touched.

04

Reconcile the first month

QuickBooks totals are compared with the store and the payment service’s reports, and anything that does not tie out gets fixed.

STRAIGHT TALK

Before you connect your store to your books.

I am not your accountant

I build what your bookkeeper or CPA specifies and flag what looks off. How entries should be recorded is their decision, and they should sign off on the test month.

Old orders are a separate job

Connectors usually sync new activity automatically and leave history alone. MyWorks, for one, needs older orders pushed by hand, and its plans limit how far back that push can reach. Decide early whether past orders belong in QuickBooks at all.

Sometimes a CSV is enough

For a small store, a clean monthly export your bookkeeper imports can beat a live sync. If that is the honest answer, that is the one you will get.

QUICKBOOKS QUESTIONS

WooCommerce and QuickBooks, answered.

01

Does WooCommerce integrate with QuickBooks?

Not on its own. You connect them with a sync plugin, an automation service like Zapier, or a custom sync. Which one fits depends on how your accountant wants sales recorded and how unusual your store’s money is.

02

Do I have QuickBooks Online or QuickBooks Desktop, and does it matter?

It matters a lot. Most connectors are built for one or the other, and MyWorks, for example, sells a separate product for Desktop. Check which one your books live in before buying anything.

03

Should every WooCommerce order be its own entry in QuickBooks?

Not always. Order-by-order detail is useful for some businesses; a daily summary keeps the books lighter for others. Your accountant should decide, and the integration should follow.

04

How are Stripe and PayPal fees handled?

Properly, they are recorded as an expense and each payout is matched to the orders it contains, so the deposit in your bank ties out. A sync that ignores fees leaves a difference to explain every month.

05

Will the integration keep inventory in sync too?

It can, but pick one source of truth. If a register also sells your stock, the register or the website should own the count, and QuickBooks follows. I build register syncs too.

06

What does a QuickBooks WooCommerce integration cost?

Connector and automation services charge their own subscriptions. My setup or custom build is quoted flat from a written scope after one conversation, so you know the number before work starts. I am in Louisville and do this work remotely for stores anywhere in the United States.
