PROJECT SPOTLIGHT / CUSTOM WORDPRESS PLUGINS

Tour day, without the clipboard.

Kentucky Peerless Distilling Co. sells out distillery tours through their WooCommerce site. We built the custom check-in system their front desk runs every single day.

THE PROBLEM

Bookings were online. Tour day was still on paper.

One-screen check-in board

Every tour and tasting for the day, grouped by time, with party size, tickets, and one-tap check-in built for the front desk.

Walk-ins in seconds

A walk-up party gets added to the board instantly, so online bookings and door traffic live in one accurate count.

Live capacity stats

Total guests, parties, tours, and tastings update in real time and sync across every device at the desk.

Attendance reports

Booked versus attended, by experience and date range, so no-show patterns and busy blocks are visible at a glance.

One-click CSV exports

The SWD Bookings Export plugin pulls any date range of bookings into a clean CSV for planning and accounting.

Slots always visible

A second custom plugin keeps every available time slot visible on the booking form, so guests can book faster.

BUILT AS CUSTOM PLUGINS

Software that fits the job, not the other way around

Off-the-shelf booking tools stop at the order. Tour day needs more: who is here, who is missing, and how full the next slot is. So we wrote custom WordPress plugins around WooCommerce Bookings - a live check-in board and a bookings export tool - styled to the Peerless brand and fast enough to keep up with a sold-out Saturday. Guest names and contact details shown in these screenshots are fictional.

WHAT WAS DONE, IN DETAIL

Check-in built for a tablet at the door, not a laptop in the back.

On a busy tour day the front desk needs to see who is booked, who has arrived, who is late and how many are left, at a glance, on a tablet, with a line forming. WooCommerce Bookings holds all of that data but shows none of it in a way staff can use. So Shaun Wilson Designs built the Guest Check-In system as a Peerless plugin on top of the bookings the website already sells.

The screens shown above are the live operational views: the check-in board, the bookings calendar, the tour booking form, the public visit page, the attendance report and the export settings. Everything runs inside WordPress on the site the distillery already owns, so there is no second system to pay for or keep in sync.

THE SPECIFICS

Systems, fixes and the numbers behind them.

Check-in board

A tablet-first board of the day’s tours and guests with one-tap arrival, late and no-show states, designed to be read across a counter.

Bookings calendar

Every tour and tasting slot, with capacity and bookings, in a calendar staff can actually navigate on a touch screen.

Staff booking form

Walk-ins and phone reservations entered as real WooCommerce bookings by approved staff, so reporting stays whole.

Attendance reporting

Attendance by tour and by day, exportable, so the distillery can see what sells and what fills.

Built on what already runs

A must-use plugin layered on WooCommerce Bookings: no new platform, no duplicate customer records, rollback is deleting one file.

Premium, on purpose

Designed to the Peerless brand so the tablet at the front desk looks like part of the tasting room, not an afterthought.

HOW IT CAME TOGETHER

From front-desk pain to daily habit

01

Watch the workflow

We started with how the desk actually runs tour day, not with a feature list.

02

Design the board

One screen, grouped by tour time, readable from arm’s length at a busy counter.

03

Build on WooCommerce

Custom plugins extend the store that already takes the bookings. No new systems to learn.

04

Refine in service

Walk-ins, comps, print sheets, and reports were added as real tour days demanded them.

PROJECT DETAILS

The nuts and bolts

Why build custom?

Because nothing on the market matched the front desk workflow. Custom code lets the tool fit the job exactly, without switching platforms or retraining staff.

What is it built on?

WordPress, WooCommerce, and WooCommerce Bookings, extended by custom SWD plugins, with attendance saved instantly and shared across devices.

What did it replace?

Printed rosters and hand counts. Check-ins now happen with one tap, and the numbers are always current on every screen at the distillery.

Could my business use something like this?

If your team runs a daily workflow on paper next to a WordPress site - check-ins, pickups, appointments, rosters - the same pattern fits.
